Planning a wedding is an exhilarating journey, but when it comes to nailing down the perfect wedding timeline for your big day, it can feel overwhelming. As a wedding photographer & videographer who has been through the process, I understand the importance of a well-thought-out schedule to ensure everything runs smoothly. So, sit back, relax, and let me guide you through my stress-free wedding day timeline tailored for a 4pm ceremony and reception.
Setting the Stage: Morning Preparations
9:00 am - 12:00 pm: Begin your day surrounded by your closest family and friends. Enjoy a leisurely breakfast to fuel up, followed by a pampering session as you get ready. Allocate ample time for hair and makeup to avoid any last-minute rush. Speaking from experience, always allocate enough time for hair and makeup since this tends to be the one thing that typically causes delays on a wedding day.
12:00 pm - 2:00 pm:
From first looks to portrait time, I'll capture all the laughter, tears, and shared excitement between you and your significant other for those timeless, effortless images. I love a relaxed timeline that allows ample opportunity for us to go to all of your favorite spots at your venue, to get all the looks and vibes you want with your future spouse - the editorial, classic, documentary and fun vibes you've day dreamed about leading up to this day.
Ceremony Bliss: The Main Event
2:00 pm - 3:30 pm:
With a 4pm ceremony it's intuitive that all photos wrap up no later than 3:30, as guests tend to arrive 30 minutes prior to ceremony time. Leading up to the ceremony I'll grab your wedding party photos and family photos. Once photos are done, take this time to freshen up, calm nerves, and have a private moment with your partner. Guests will start arriving, then it's show time!
4:00 pm: It's showtime! Exchange vows, seal your love with a kiss, and embrace the cheers and well wishes from your guests. If you plan on doing a dip kiss at the end of the aisle, make sure to practice it a few times before the big day!
Reception Revelry: Let's Celebrate!
4:30 pm - 6:00 pm: Transition smoothly to the reception venue, where the real party begins. Welcome your guests, enjoy cocktail hour, and prepare for your grand entrance. Consider having a well-timed guest book signing or alternative entertainment to keep guests engaged. Depending on the season in which you get married, you may or may not have your sunset photos during this time. If you're in Minnesota getting married in October, best time for sunset photos is 5pm. If you're getting maried in the summer in Minnesota, then the best timing for sunset would be 8pm. Ask me when you should schedule your sunset time and I'll be happy to help you plan that out!
6:00 pm - 6:30 pm:
Traditionally first dances have always happened after dinner and speeches, but I always recommend doing first dances right when you have your grand entrance. This way, all eyes are on you, no one has left yet and no one is at the bar, etc. But if you plan on doing your first dances later in the evening then take a moment to have a designated individual give a toast leading into dinner.
PRO TIP: Offer a coffee bar at the beginning of the reception to help keep guests energized through the night.
Evening Delights: Dinner and Dancing
6:30 pm - 8:00 pm: Indulge in a scrumptious dinner spread that caters to all preferences. Whether you opt for a plated meal or buffet-style service, ensure prompt service to maintain the flow of the evening. And always, always, make sure your vendors eat at the same time you do! With speeches and dances looming ahead, and even sunset photos, it's imperative that your team has had a moment to sit, eat and rejuvenate. I speak for all vendors when I say that we REALLY appreciate this time, so thank you for thinking of us and feeding us!
8:00 pm - 10:00 pm: Let loose and dance the night away with your favorite tunes. Remember to take a moment to step back, soak it all in, and cherish the memories being created.
Wrapping Up: Fond Farewells and Happily Ever After
10:00 pm - 11:00 pm: As the night winds down, offer late-night snacks or a dessert bar to keep the energy up. End the night with a grand exit, whether it's sparklers, bubbles, or a classic send-off.
Congratulations! You've successfully navigated your wedding day timeline for a 4pm ceremony and reception. Remember, it's not just about the schedule; it's about savoring each moment and creating lasting memories. Cheers to your new chapter and the adventure that lies ahead!
With this stress-free timeline in hand, you can focus on celebrating your love and embracing every moment of joy on your special day!
